'The stores arrive after the pilot boards': anatomy of a failed port call

A step-by-step teardown of how a routine port call collapses when the shore side underestimates the timing. Names removed. Lessons kept.

A composite of three recent port calls we were called into to salvage. Details anonymised. Sequence intact — because the sequence is what matters.

The setup

Bulk carrier, Douala, load call. Full provisions and stores requisition. Chandler selected on price alone. Sailing planned 06:00 the following morning.

Day of arrival

  • 08:00 — vessel alongside. Requisition confirmed by chandler two days earlier. No update since.
  • 11:30 — agent calls the chandler. Told "delivery this afternoon, no issue". No time given.
  • 15:20 — half the delivery arrives. Fresh provisions only. Bonded stores "coming separately". No timing.
  • 17:40 — bonded stores arrive at the gate. Refused entry: seal number on the manifest does not match the seal on the crate.
  • 19:10 — chandler at the gate. Argues with customs. No plan.
  • 22:30 — customs office closed. Bonded stores now cannot clear until 07:00.
  • 04:45 — pilot on board. Bonded stores still not delivered.
  • 05:20 — Master signs LOP. Formally protests the shortage.
  • 06:00 — vessel sails without cigarettes and spirits. Crew morale, next port issues.

Where it actually failed

Not at 17:40 when the seal mismatch was discovered. At 11:30, when the chandler answered "no issue" instead of "I need to check bonded paperwork before I can confirm timing". The rest of the day was the compounding cost of that soft answer.

What we do differently

At confirmation stage, before the vessel arrives, our coordinator physically checks the bonded manifest against the customs entry and the seal numbers. If anything is off, it gets fixed while there is still time — not at the gate at 17:40.
